How to Follow Up After a Networking Event: A Simple 3-Step Email System

How to Follow Up After a Networking Event: A Simple 3-Step Email System

April 07, 20254 min read

You had a great conversation.
Swapped cards or QR codes.
Maybe even promised to follow up…

But then life happened.
Your inbox got flooded.
That new connection? It slipped through the cracks.

Sound familiar?

You’re not alone—and you’re not doing it wrong.
The truth is, most service providers don’t follow up—not because they don’t care, but because they don’t have a simple system that makes it easy.

Let’s fix that!

Why Follow-Up Matters (and Why It’s So Often Missed)

That first follow-up is where the relationship really starts.
It’s the difference between “nice to meet you” and “I’m glad we stayed in touch.”

But after an event, most of us:

  • Don’t know what to say

  • Forget who we talked to

  • Or get too busy to do it at all

The fix? Create a short, reusable follow-up sequence once—and then let your system do the rest.

A Simple Follow-Up Sequence You Can Reuse Every Time

You don’t need to overthink it.
Start with
3 short emails that you can tweak for each new contact:

✉️ Email 1 – The Connection

  • Say it was great to meet them

  • Quick reminder of who you are / what you do

  • Mention where you met

  • Include a link to connect (like a calendar, your website, or LinkedIn)

Example:

“Hi [Name], it was great meeting you at [Event]!
I help [audience] with [service]. If you’re ever looking for support in that area—or just want to talk shop—I’d love to stay in touch. Here’s my calendar if you ever want to chat again.”

🧠 Email 2 – The Context

  • Offer something helpful (a tip, checklist, blog post, etc.)

  • Reaffirm how you help

  • Keep it light and useful

Example:

“You mentioned you’re working on [topic]. I’ve got a resource you might like—[link]. It’s helped a few clients in a similar spot.”

Alternate opinion on this one..... this is great if you are doing manual follow-ups, AND you do have a resource that you can send to them. But we are trying to automate this. So work with AI to re-word this so you can potentially send one of your freebie's, or a different type of message here.

🔗 Email 3 – The Next Step

  • Share how to keep in touch

  • Invite a reply or quick connect

  • Make it optional and friendly

Example:

“If you ever want to chat ideas or just stay connected, I’m always around. No pressure—just here if you need support.”

Use AI to Draft It for You (No Blank Pages)

You don’t need to start from scratch.
Use this prompt in ChatGPT (or any AI assistant) to get a draft sequence in seconds:

“I met someone at a networking event who might be a good fit for my services.
I help [insert audience] with [insert problem/solution].

Write a 3-part email sequence to follow up:

  • Email 1 should feel friendly and casual

  • Email 2 should offer something helpful

  • Email 3 should invite them to connect

Keep the tone personal and not too salesy.”

Then just edit the response to match your voice.
If you attend events regularly, this becomes your reusable follow-up system.

Additionally, as you work with AI tools, they will learn your business, your offerings, and your voice. So instead of giving it an outline, ask it for the outline, and work with it to come up with a sequence that feels good to you.

How to Send It Without Doing It All Manually

Even if you’re starting with spreadsheets or sticky notes, the follow-up can be automated over time.

Here’s a simple setup you can build (or ask for help with):

  1. Add a new contact to your CRM after an event

  2. Apply a tag like “Networking – March 2025”

  3. Trigger an automation that sends your 3-email intro sequence

  4. Optional: Segment them for future outreach, offers, or newsletters

That’s it. You can still customize things later—but now you’ll never forget to follow up again.

A Real-Life Tip I Wish I Followed Sooner

Tag your contacts while they’re still fresh.
Even a note like “Met at Chamber Mixer / Interested in CRM help” will be gold later.

This exact email you’re reading? It went to people I finally tagged and cleaned up in my system.
It took a while—but now I know who’s who, what we talked about, and what to send them next.

Don’t wait a year (or more) like I did. Your future self will thank you.
